Your inbox, triaged before you open it.

Email is where working days go to die: sorting, forwarding, answering the same requests, chasing the ones that slipped. AI inbox automation triages what arrives, drafts the replies and routes the rest to the right person with context. This guide covers what works, the established tools, and when custom wins.

What AI inbox automation is

AI inbox automation reads incoming mail the way a good assistant would: it recognises what each message is, an order, a complaint, an invoice, a request, drafts the response for the routine ones, files or forwards with a summary, and escalates what needs a human decision. It works on a personal inbox, and it transforms shared ones: info@, sales@, support@.

01

Mail arrives, the AI reads it

Intent, urgency, language, what is being asked, whether it has been asked before.

02

Routine mail gets a drafted reply

From your information and your past answers, in your tone, queued for a one-click approve or sent within rules you set.

03

The rest is routed with context

Forwarded to the right owner with a summary and suggested action, not just another unread item.

04

Follow-ups happen on their own

The unanswered thread resurfaces, the promised document is chased, the deadline is flagged.

When this solution makes sense

A good fit if

  • A shared inbox like info@ or sales@ is triaged by hand every morning
  • The same requests arrive daily and get answered by copy-paste
  • Enquiries wait hours because whoever should reply is busy
  • Threads slip and follow-ups depend on memory
  • Requests arrive in languages your team half-covers

Probably not yet if

  • Mail volume is low and each message genuinely needs thought
  • Your inbox problems are really process problems wearing email as a costume
  • Compliance forbids any third party touching mail and a private setup is off the table
  • Nobody will review the drafts during the learning weeks

What changes

Mornings without triage

The sorting hour disappears; what needs you finds you already summarised.

Replies in minutes, not afternoons

Routine answers go out fast and consistently, in the customer's language.

A shared inbox with an owner

Every message has a status and a responsible person, visible, instead of a pile everyone assumes someone else checked.

Promises that keep themselves

Follow-ups fire on schedule because the system remembers what your Tuesday self committed to.

Off the shelf or custom?

When a platform is enough

For personal productivity and standard shared-inbox teamwork, the tools above are excellent: switch on the AI where your mail already lives, or adopt a shared-inbox product and inherit good habits with it.

When custom wins

Custom wins when the reply requires your systems: order status from the ERP, bookings into your calendar, invoices routed into accounting, answers from your private knowledge. It also wins for inbound that should become structured data instead of prose, and for mailboxes where privacy rules out general tools. Most custom inbox agents we build sit behind your existing address, invisibly.

Where Sabemos fits

Custom build

We build inbox agents wired to your business: reading what arrives at your addresses, answering from your data and systems, in Spanish and English, escalating by your rules, and turning mail into structured work in your CRM or ERP rather than more mail.

Setup and onboarding

Prefer the tools? We configure the suite AI or the shared-inbox platform properly: the triage rules, the draft tone, the guardrails on auto-send, and the habits that make the team trust it.

Frequently asked questions

Will it send emails without us knowing?

Only if you configure it to, and you should not at first. Start in draft mode, approve for a few weeks, then allow auto-send for narrow, proven message types with limits.

Is our mail used to train AI models?

The suite AIs from Microsoft and Google run under business terms that exclude training on your content. Any other tool must show you the same commitment in writing before it touches a mailbox.

Can it handle Spanish and English in one inbox?

Yes. Detecting the language and replying in it is table stakes for modern assistants, and it is one of the quickest wins for teams serving mixed markets.

What is the difference between this and rules or filters?

Filters match words; they break on anything unexpected. AI reads meaning: the badly spelled urgent complaint gets escalated even though it never used the word complaint.
