All guides Knowledge

An AI that knows your company. And only your company.

Every company has one colleague everyone asks. Their knowledge lives in drives, wikis, PDFs and inboxes, and finding it costs everyone time. A private AI assistant answers from your own documents, with sources, without your data leaving your control. This guide covers how it works, the serious platforms, and when to build your own.

  • Your dataanswers come with sources
  • Privateno training on your files
  • Minutessaved on every search
  • One placedrives, wikis and mail

What a private AI assistant is

A private AI assistant is a system that connects a language model to your company's own knowledge: contracts, manuals, policies, project folders, past proposals. Staff ask questions in plain language and get answers drawn only from those sources, with citations, under access rules that respect who may see what.

01

Your knowledge gets connected

Drives, wikis, handbooks, email archives. The documents stay where they are; the assistant indexes them securely.

02

Someone asks a normal question

What is our refund policy for enterprise clients? What did we quote Acme last year? No keywords, no folder spelunking.

03

The answer comes with receipts

A direct answer plus the source documents it came from, so anyone can verify instead of trusting blindly.

04

Permissions stay intact

The assistant answers each person only from documents they are allowed to see. HR files do not leak into general chat.

When this solution makes sense

A good fit if

  • New staff take weeks to become useful because the knowledge lives in veterans' heads
  • The same internal questions get asked and answered by email every week
  • Important answers exist but nobody can find them across drives and wikis
  • Client-facing teams need past proposals, prices and policies at their fingertips
  • Confidentiality rules out pasting company documents into public chatbots

Probably not yet if

  • The company's knowledge genuinely is not written down anywhere yet
  • Fewer than a handful of people, all sitting in the same room
  • Your documentation is one tidy handbook a search box already covers
  • Nobody owns keeping the source documents current

What changes

Answers in seconds, not searches in hours

The twenty minutes of digging becomes one question. Multiply by every employee, every week.

Onboarding that does not drain seniors

New hires ask the assistant the hundred small questions they used to ask the busiest person in the company.

Consistent answers across the team

Everyone quotes the same policy and the same price list, from the current version, not last year's PDF.

Knowledge that survives departures

When someone leaves, what they documented keeps answering. The bus factor stops being a business risk.

What teams use it for

  • Internal policy and HR questions
  • Past proposals and pricing lookups
  • Technical manuals for field teams
  • Client history before a meeting
  • Compliance and procedure checks
  • Support macros drawn from documentation

Off the shelf or custom?

When a platform is enough

If your documents already live in Microsoft 365 or Google Workspace, the built-in AI of those suites is the natural first step: it inherits your permissions and needs no new vendor. Dedicated tools go further on search quality and connectors. For a team with tidy, centralised documentation, a subscription gets you most of the value in a week.

When custom wins

Custom wins when your knowledge lives in systems the platforms do not reach: your ERP, your ticketing history, a legacy database, scanned archives. It also wins when confidentiality demands that everything runs in your own environment, when answers must follow your rules exactly, or when you want the assistant inside the tools your team already uses instead of one more tab.

Where Sabemos fits

Custom build

We build private assistants on your infrastructure or your cloud, connected to the sources that matter, with citations, access control and an interface your team will use, in Spanish and English. Your documents never become anyone's training data.

Setup and onboarding

Already drawn to one of the platforms? We run the rollout properly: choosing the plan whose privacy terms fit, connecting and curating the sources, setting permissions, and training the team so adoption is real rather than a login nobody opens.

Frequently asked questions

Is my data used to train the AI?

On the serious platforms' business plans, no, and they say so in writing. The commitments differ between free and paid tiers, which is why reading the data terms is step one of any rollout.

What is RAG, in plain words?

Retrieval augmented generation: before answering, the system retrieves the relevant passages from your documents and instructs the model to answer only from them, with references. It is how an assistant stays grounded in your reality instead of improvising.

Can it respect who is allowed to see what?

Yes, and it must. Good deployments mirror your existing permissions, so the assistant answers each person only from documents they could already open.

Does it hallucinate?

Less than an open chatbot, because it answers from retrieved sources and cites them. It can still misread a document, which is why citations matter: one click verifies any answer that smells wrong.

How long does a rollout take?

A platform pilot on one document set takes days. A custom assistant connected to several systems typically takes a few weeks, with source curation, not AI, consuming most of them.
