Put a capable AI agent inside WhatsApp.

Your customers already live in WhatsApp. An AI agent there answers questions, qualifies leads and books appointments around the clock, in the thread people check first. This guide covers what it does, who the serious providers are, and when to buy versus build.

What a WhatsApp AI agent is

A WhatsApp AI agent is a system connected to your business number through Meta's official WhatsApp Business Platform. It is not the auto-reply menu you have met before: it holds a real conversation in the customer's language, remembers the thread, follows your rules, and takes action on your systems.

01

A customer writes

The message lands on your business number, in the same app your customers use with their family. That is why it gets read and why replies get answered.

02

The agent understands and answers

It reads the intent, in whatever language the customer used, and answers from your information: your menu, your price list, your policies. Not from the open internet.

03

It takes the action

Books the appointment, checks the order, qualifies the lead. Its hands are connected to your calendar, your CRM or your ordering system.

04

A person takes over when it matters

Anything outside its rules goes to your team with the full conversation attached, so nobody starts from zero.

When this solution makes sense

A good fit if

  • Your customers already write to you on WhatsApp, or call and hang up when nobody answers
  • The same questions arrive every day: prices, hours, availability, order status
  • Bookings or orders happen by chat and eat staff time in back-and-forth
  • Enquiries arrive at night, on weekends, or in languages your team does not cover
  • Leads from portals or ads go cold because the first reply takes hours

Probably not yet if

  • Your customers are enterprise buyers who live in email and video calls, not WhatsApp
  • Volume is a handful of chats a day that one person handles comfortably
  • There is no written source of truth yet for the agent to answer from
  • The conversations are regulated advice where a wrong answer creates liability

What changes

Every enquiry answered in seconds

Nights, weekends and lunch rushes included. The lead that used to wait until Monday gets a useful reply immediately.

Leads qualified before you spend time

The agent asks the questions you would ask first, so your team opens conversations that are already worth having.

Bookings and orders without the back and forth

Appointments, reservations and order checks resolved inside the thread, synced with your calendar or system.

A clean handoff when it matters

Conversations that need a human arrive with the whole history attached, not a cold start.

What teams use it for

  • Restaurant and hotel reservations
  • Clinic appointment booking and reminders
  • Ecommerce order status and returns
  • Real estate portal lead response
  • Lead qualification for service businesses

Off the shelf or custom?

When a platform is enough

A platform subscription is the right call when your conversations follow common patterns: answering questions from a price list or menu, booking against a calendar, sending reminders. Setup is measured in days, the cost is predictable, and you benefit from features these companies ship every month. If that describes your case, pick one from the list above and spend your energy on the content the agent answers from.

When custom wins

A custom agent earns its keep when the conversation has to touch your systems: your booking engine, your CRM, your stock, your pricing rules, your tone. Platforms connect to the common tools; they stop at the uncommon ones, and workarounds pile up quietly. Custom also wins when you need strict control over what the agent may say, or when per-seat platform pricing outgrows the cost of owning the thing.

Where Sabemos fits

Custom build

We build WhatsApp agents on the official API, connected to the systems you already run: your calendar, CRM, ordering or property software. You own the logic and the data, the agent follows your rules, and it speaks your customers' languages properly. Built in Barcelona, delivered in English and Spanish.

Setup and onboarding

Already convinced by one of the platforms above? We set it up properly: the number migration, the conversation design, the knowledge it answers from, the handoff rules, and the tracking that tells you whether it pays. You get a working agent, not a login and good luck.

Frequently asked questions

Do I need the official WhatsApp Business API?

For automation at business scale, yes. The free WhatsApp Business app allows simple auto-replies for one phone, but agents, integrations and team inboxes require the official API through Meta or one of its partners.

What does WhatsApp itself charge?

Since mid 2025 Meta bills per delivered template message, with rates that depend on the template category and the recipient's country. Marketing templates cost the most. Free-form replies inside the 24 hour service window are free. Budget Meta's fees on top of any platform subscription.

Can the agent answer in several languages?

Yes. Modern agents detect the customer's language and reply in it. For a Barcelona business that routinely means Spanish, Catalan and English in the same inbox.

What happens when the agent does not know the answer?

A well-built agent says so and hands the thread to a person, with the conversation attached. The handoff rules are part of the design, not an afterthought.

How long does it take to launch?

A platform setup with clean content takes days. A custom agent connected to your systems typically takes a few weeks, most of it spent on your data and rules rather than the AI itself.

Is this allowed under WhatsApp's rules?

Yes, when done through the official Business Platform with customer opt-in. Unofficial gateways that automate the consumer app violate WhatsApp's terms and get numbers banned, which is reason enough to avoid them.
