All guides Back office

The meeting ends. The notes are already filed.

Every meeting produces decisions, commitments and context, and most of it evaporates by Friday. AI notetakers transcribe, summarise and list the action items. The real win is the next step: notes that file themselves into your CRM and project tools. This guide covers both levels.

  • Every wordcaptured, searchable
  • Actionslisted with owners
  • Filedinto CRM and projects
  • Presentpeople listen, not scribble

What AI meeting notes are

An AI notetaker joins your calls or captures the room, transcribes the conversation, and produces a structured summary: what was discussed, what was decided, who owes what. The commodity part is the transcript. The valuable part is what happens after: the client call updating the CRM, the action items landing in your task tool, the decision searchable next quarter.

01

The meeting is captured

Video calls, phone calls or the meeting room, with everyone aware it is happening.

02

Transcription and structure

Who said what, in which language, distilled into decisions, actions and open questions.

03

The notes go where work lives

The client summary onto the CRM record, the tasks into your project tool, the follow-up email drafted.

04

The archive answers questions

What did we promise them in March? Ask, instead of scrubbing through recordings.

When this solution makes sense

A good fit if

  • Client calls end and the CRM never hears about them
  • Action items from meetings survive only in someone's memory
  • The same things get re-discussed because nobody recalls the decision
  • Meetings happen in two languages and notes suffer for it
  • People type during calls instead of paying attention

Probably not yet if

  • Your meetings are few, short and internal
  • Legal or client sensitivities make recording a non-starter
  • Nobody will act on the notes wherever they land
  • You want surveillance of staff, which this is not for

What changes

A CRM that reflects reality

Every client conversation logged with its summary, without anyone typing it in on Friday.

Commitments that survive the week

Actions with owners land in the task tool while the meeting is still warm.

Decisions you can cite

The searchable archive settles what was agreed, when, by whom.

Meetings with everyone present

Nobody is the designated scribe; the humans do the human part.

  • Client meetings and follow-up emails

Off the shelf or custom?

When a platform is enough

For capture, transcription and summaries, buy: the tools above are polished, cheap and improving monthly. If your need ends at good notes in a searchable place, a subscription and a consent habit finish the job.

When custom wins

Custom wins in the wiring: notes that update your CRM fields, not just attach to them, action items that become tickets with owners and dates, summaries in your format for your clients, transcripts feeding your private knowledge base. The notetaker is a sensor; we build what the sensor feeds.

Where Sabemos fits

Custom build

We wire meeting intelligence into your operation: capture from the tools above or built in, then structured updates into your CRM, tasks into your project system, client summaries in your template, in Spanish and English, under your consent rules.

Setup and onboarding

Choosing a notetaker? We pick for your language mix and platforms, set the consent defaults properly, connect the CRM sync and make the notes land where your team will see them.

Frequently asked questions

Is it legal to record meetings?

With consent, generally yes, but rules differ by country and context. Announce the notetaker, use the built-in consent features, and for client calls make participation explicit. We configure conservative defaults.

How accurate is transcription in Spanish?

Very good with clear audio, and improving; accents and crosstalk cost accuracy. For bilingual meetings, choose tools with proven multilingual models and test with your real calls.

Where do the recordings live?

With the vendor under business terms, or in your environment if you need it. Retention windows deserve a decision: keeping everything forever is a liability, not a feature.

Will people behave differently on record?

Somewhat, at first. Teams normalise quickly when notes visibly save them work, and sensitive conversations can simply be excluded by policy.
